1. Who we are

The International Transport Workers' Federation (ITF) (we, us or our),is a global union federation. Its secretariat is based at ITF House, 49-60 Borough Road, London SE1 1DR. The ITF’s name is registered in the schedule of unlisted trade unions maintained by the Certification Office for Trade Unions and Employers’ Associations under No. 1225.

2. About this policy

We respect your privacy and value the trust you place in us when you share your personal data with us. This privacy policy sets out the way we, as the data controller, use your data: what we collect, how we collect it, how we use it, why we use it, who we share it with, and the rights to which you may be entitled when you use our website - www.itfglobal.org (the Site) or any of our other sites.

We will collect and use your personal data to allow access to the Site, to register with us or to subscribe to our services, and for the purposes set out in more detail below.

Your personal data may be shared with our regional offices, our affiliates and some third parties.

We may also use and disclose your personal data for any other purposes authorised by applicable law.

  • IP address.
  • Monitor the way our Site is used.

  • Your contact details – this may include your full/part postal address, email address, telephone number and your social media account if that's the way you communicate with us;

  • The details and contents of your communications with us and our messages to you;
  • Respond to any queries, issues or concerns you may have;

  • Provide research and information services to our affiliates;
  • Whether you've clicked on links in electronic communications from us.
  • Assist in providing general support and assistance to transport workers and our affiliates;
 
  • Represent the interests of transport workers;
 
  • Monitor communications for quality and training purposes;
 
  • Personalise our service; 
 
  • Allow you to share information from our Site on third party social media platforms; and
 
  •  Allow you to interact on our Site, for example by posting comments.

We use this information, including to:

  • Your name, contact details and details of the organisation you are representing.
  • Administer your attendance at the event
  • We may take photos, audio recordings or videos at out events. Where this is the case, we will inform you in advance and allow you to opt out.
  • Promote the event and our work more widely, on our website and social media channels.
 
  • Keep an accurate record of any decisions made.

4. Information that we collect incidentally from other sources or public sources, including:

We use this information, including to:

  • Information available in the media;
  • Maintain sector awareness;
  • Information presented on our social media timelines; and
  • Build and maintain our social media presence and awareness of our causes; and
  • Information collected by security systems.
  • Provide security to our Site.

5. Information that we collect from individuals representing organisations, including:

We use this information, including to:

  • Contact details of individuals working for organisations; and
  • Maintain sector awareness;
  • Other personal information regarding such individuals.
  • Build relationships with other organisations e.g. trade unions and trade union members/representatives.

The ITF Agreements team occasionally receives documents which include personal data, for example names, employment contracts and / or passport details of seafarers. In such cases and when these documents need to be retained, they are saved in a secure database and access is restricted to authorised users only.

5. Links to third party websites

Our Site may contain links to and from the websites of third parties. The personal data that you provide through these websites is not subject to this policy and the treatment of your personal data by such websites is not our responsibility. If you follow a link to any of these websites, please note that these websites have their own privacy policies regarding data usage which will set out how your information is collected and processed when visiting those links. 6. Why we collect your information

We collect and use your information for a variety of reasons. We need some information in order to provide our services to you – for example your contact details.

Other information we collect because we have legitimate interests to do so, for example, in:

  • Understanding how you use our services and the Site;
  • Understanding and responding to your feedback;
  • Researching and analysing the services that you want;
  • Improving our services;
  • Understanding the type of services that you want and how you use them;
  • Maintaining a public profile on both traditional and social media; or
  • Developing and maintaining relationships with trade unions, partners and other companies and dealing with individuals who work for them in the transport workers' sector.

7. Data retention and security

We will keep your information for as long as it is reasonably necessary.

We are committed to keeping your personal data safe. We have physical, technical and administrative measures in place to prevent unauthorised access or use of your information.

We will routinely refresh our information to ensure we keep it up-to-date.

8. Legal requirements

Your personal data may also be processed if it is necessary on reasonable request by a law enforcement or regulatory authority, body or agency or in the defence of legal claims. We will not delete personal data if relevant to an investigation or a dispute. It will continue to be stored until those issues are fully resolved.

Special information we collect

Certain types of personal information are more sensitive than others. These "special categories of data" about you includes information about health, union membership, disability, race, ethnicity, criminal offences (or alleged offences), political opinions, biometrics or religion.

We may collect and receive special information about you. We have identified below the types of special information we may collect or receive, how we will use it and why we will use it.

  • Trade union and trade union membership information;
  • Provide our services;
  • Health records and medical information; and
  • Provide relevant support services to you; 
  • Information about any disability you may have, race, ethnicity, any criminal offences (or alleged criminal offences), political opinion, or religion.
  • Help our affiliated unions defend the interests of their members;
 
  • Provide research and information services to our affiliates;
 
  • Provide general assistance to transport workers who need our assistance, information or guidance; and
 
  • Represent the interests of transport workers.

9. Information we share

There are certain circumstances where we may transfer your personal data to employees, contractors, our affiliates (e.g. trade unions), or to other parties.

  • We may share information about you with our other affiliate members so we can provide the best service to enforce and improve the rights of transport workers.
  • We may also share your information with certain contractors or service providers. They may process your personal data for us, for example, if we use a marketing agency. Other recipients/service providers include advertising agencies, IT specialists, database providers, backup and disaster recovery specialists, email providers or outsourced call centres.
  • Our suppliers and service providers will be required to meet our standards on processing information and security. The information we provide them, including your information, will only be provided in connection with the performance of their function.
  • We may also share your information with certain third parties. We will do this when we need them to see your information to provide services and/or support to you.

Your personal data may be transferred to other third-party organisations (e.g. selected partners, affiliates and third parties) in certain scenarios:

  • To allow our suppliers and sub-contractors to provide us with services;
  • If our affiliated unions need assistance in order to defend the interests of their members;
  • If our affiliated unions need certain personal data for research and information services;
  • If we are reorganised, replaced or amalgamated into another organisation, information may be transferred to such new organisation who can continue to provide services to you;
  • To protect the rights, property or safety of the ITF, our members, affiliates, transport workers or others;
  • If we're required to by law, or under any regulatory code or practice we follow, or if we are asked by any public or regulatory authority – for example the Police;
  • If we are defending a legal claim your information may be transferred as required in connection with defending such claim.

Your personal data may be shared if it is made anonymous and aggregated, as in such circumstances the information will cease to be personal data.

10. Where your information will be held

Your data may be transferred to, stored or processed at a location outside of the European Economic Area by the ITF or third parties acting on our behalf. The ITF will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this policy.

We will only transfer data to jurisdictions outside the scope of the European General Data Protection Regulation (GDPR) where the appropriate safeguards set out in the GDPR are in place.

11. Your rights

You may have certain rights in relation to your personal data including a right to access or to correct the information that we hold on you.

We've listed the rights you may have over your personal data and how you can use them below.

These rights will only apply in certain circumstances. They will generally not be available if there are outstanding contracts between us, if we are required by law to keep the information or if the information is relevant to a legal dispute.

  • You can ask us to confirm if we are processing your information;
  • You can ask for access to your information;
  • You can ask to correct your information if it's wrong;
  • You can ask us to delete your information;
  • You have a right to be forgotten and you can ask that our systems stop using your information;
  • You can ask us to restrict how we use your information;
  • You can ask us to help you move your information to other companies – to help with that, you have a right to ask that we provide your information in an easily readable format to another company;
  • You can ask us to stop using your personal data, but only in certain cases; and
  • You have the right to complain to the relevant supervisory authority.

12. Changes to the policy

This policy will be changed from time to time.

The Site uses cookies. Cookies are small files stored on your computer's hard drive which are used to collect your personal data. We use cookies that identify your browser or device. They collect and store information when you visit our Site about how you use it.
